What this policy covers

This policy explains how we handle personal data in connection with the SwiftQuote website (getswiftquote.com), the SwiftQuote Solo app available for iPhone, iPad and Android, and the Bodyshop Website Service (which builds and hosts websites for bodyshops and SMART repairers). We are committed to protecting your privacy and complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Data collected through the website

Our website uses optional Google Analytics to help us understand how visitors use the site and improve our pages. Analytics cookies are only used if you accept them; you can reject analytics when the banner appears. We remember your choice for around six months. Google Analytics may collect information such as pages viewed, approximate location, device and browser details. We do not use advertising cookies.

Our hosting provider may collect basic server access logs (such as IP address, browser type and page requested) for security and performance purposes. These are not used to identify or profile individual visitors and are not shared with third parties.

The website details form collects business information submitted voluntarily — see the Bodyshop Website Service section below for full details.

If you contact us by clicking a contact link on our website, your email client will open and you will send a message directly to us. We will receive your email address and any information you choose to include in that message. We use this solely to respond to your enquiry and do not add you to any mailing lists or share your details with third parties.

Bodyshop Website Service

If you use the Bodyshop Website Service, we collect business information submitted through the website details form. This may include:

• Business name, contact name, phone number, email address and business address
• Opening hours, services offered and areas covered
• Website or domain details
• Logos, photos, certificates and approval documents uploaded by the customer
• Information about approvals, accreditations, insurance relationships and business claims

We use this information to prepare, build, preview, publish and support the customer's website. We may contact you about your website using the contact details you provide.

Uploaded images and logos may be used on the customer's website if supplied for that purpose. We do not use them for any other purpose without consent.

We do not sell personal information. We only share information where necessary to provide the service — for example, with hosting providers, domain registrars, email and form handling services, payment or accounting services, technical support, or where required by law.

Data collected through the Bodyshop Website Service is kept only as long as necessary to provide the service, support the customer, maintain the customer's website, or meet legal and accounting requirements. When a customer cancels and the website is taken offline, we will retain only what is required by law.

You can request access to, correction of, or deletion of your data where legally applicable by contacting us using the button below.

Customers should only upload material they have permission to use. Customers should only provide approvals, accreditations, manufacturer approvals, insurance relationships or claims that are true and can be evidenced. SwiftQuote is not responsible for the accuracy of information supplied by the customer.

Data processed within the SwiftQuote app

The SwiftQuote app is designed for bodyshop staff to create vehicle damage estimates. When using the app, bodyshop staff may enter:

• Customer names and contact details
• Vehicle details (registration, make, model)
• Damage photographs taken on the device
• Estimate and repair information

All of this data is stored locally on the user's device only. It is never transmitted to, or stored on, any SwiftQuote server. We do not have access to any data entered into the app by users.

The bodyshop using SwiftQuote is the data controller for any personal data entered about their customers. They are responsible for ensuring their use of the app complies with applicable data protection law, including informing their customers about how their data is used.

When a user chooses to email an estimate from the app, the estimate is sent using the email application on their device. SwiftQuote does not intercept, store, or process emails sent in this way.

Lawful basis for processing

Where we process personal data (for example, when you email us), our lawful basis is legitimate interests — specifically, responding to enquiries about our product. We do not process special category data.

How long we keep your data

Emails sent to us are kept only for as long as necessary to deal with your enquiry. We do not retain correspondence beyond a reasonable period after the matter is resolved.

Sharing your data

We do not sell, rent, or share personal data with third parties, except where we are required to do so by law.

Your rights under UK GDPR

You have the right to:

• Access — request a copy of the personal data we hold about you
• Rectification — ask us to correct inaccurate data
• Erasure — ask us to delete your data where there is no compelling reason for us to keep it

Children's privacy

SwiftQuote is intended for use by businesses and professionals. We do not knowingly collect personal data from children under 16.
